Architecture

Not one admin panel but nine coordinated subsystems on a shared MySQL backend: the admin back office (~25 sections), an AI outreach dialer, an AI call grader, a drop-in booking pipeline, a live war-room, a coach PWA, member onboarding, a partner/prospect network, and a mail guard. The core is a single-repo Node.js/MySQL monolith exposing 200+ JWT-authenticated endpoints behind an owner-only middleware tier. It syncs Square subscriptions on internal crons to surface and dun failed payments, runs an SMS/email blast engine over Telnyx with pause/resume and warmup checks, and drives gym-floor RFID hardware and a Raspberry Pi door kiosk for key programming, check-in, and waiver capture. An AI outreach dialer, a per-call grader, and a retention-recommendation engine sit alongside member, coach, and payments management.

AI call grader — scores every call and every rep on a five-dimension rubric, flags red flags, and writes one actionable coaching note; a nightly per-rep rollup gives managers a coaching view

Drop-in drip sequences — booking a free drop-in fires an 8-stage editable SMS + email sequence on time anchors (welcome, fear-killer, why-us, confirm, night-before, final, post-attend, winback) inside a 9-to-9 send window with a kill-switch

Square subscription oversight — a failed-payment sweep with automated dunning emails

RFID kiosk integration — key programming, door check-in, and waiver capture on a gym-floor Raspberry Pi

Partner / prospect network — a separate outreach surface tracking partners and hundreds of prospects

Coach & personal-training PWA — schedule, clients, cash till, and a conflict engine with end-of-day push + SMS reminders
